| How do I Maintain Employment Service History/Additional Service History for an employee | STEPS

Note: It is not unusual when dealing with pensionable service that an employee either transfers service in from another qualifying organisation, or buys extra service in by lump sum, or is in receipt of miscellaneous extra years e.g. Professional Added Years. Similarly, negative amounts of service may have to be taken into account e.g. strike days etc. On Core Pension this is handled through the Maintain Employee Additional Service History screen. | 1. Navigate to Core Pension Main Menu>Maintenance> Employee Additional Service History and the ‘Maintain Employee Additional Service History’ screen appears

Note: Conf and Dep must be ticked for the entry to be factored in to a benefit calculation.
Note: Position and Value headings are freetext and are not used in any calculations. | 2. Enter the Employee Reference Number and tab/enter. The fields are populated automatically with a list of additional service history information for the employee (if no additional Service History has been previously added then these fields will be blank)
There are 3 ways to enter the employee reference number: A. By typing the number in the Employees Reference field B. By clicking into “Employee Reference” field and press F9 and pick from the list of values and click on OK
C. By clicking on the Icon at the top right hand side of this screen and select from the list of values and click OK. |

Note: To work out the element of service navigate to the >‘Tool’ on the top of screen and click on > ‘Date Calculator’ > enter in the following dates 01-JAN-2001 TO 01-JAN-2019 > the FTE is automatically populated as 1 you can change to .5 if applicable>press Calculate this will give you the service in Years
Populate this value: 18.0027 into the ‘Service’ field Or use Date Calculator button at end of screen.
| 3. To enter Additional Service History, enter the Start Date, End Date (dd/mm/yyyy) and Pension Scheme Number (52) into a blank record line at the additional Service History section of the screen

| 4. Choose and click on the appropriate option under ‘Type’ field. There are a number of options available in the ‘Type’ dropdown list - Bought, Credited, Transfer and Sundry. (Commonly used are Sundry or Transfer to input Service History choose ‘Transfer’)

| 5. Cross check the following- That the tick boxes ‘Conf.’ and ‘Dep.’ indicators against each additional service record is ticked on. If the Conf. indicator is not ticked on then this service has not been confirmed and is not reckoned in the calculation of pensionable service.
Activating the Dep. Indicator means that the appropriate dependence contributions have been made.

6. Enter a meaningful description in the ‘Text’ column that best describes the record details. In addition extra information may be entered under the ‘Position’ and ‘Value’ (Transfer Value) columns. i.e Care Taker, Teacher, pro Rata etc. and value if value is applicable |

| 7. If a lump sum reduction applies then the amount of the lump sum must be entered in the ‘Lump Sum Reduction’ column e.g. 1,000.00
Click Save. |

Note: A line which is coloured yellow indicates a memo is attached. | 8. Add a memo with all information describing the record details as follows: Click on ‘Memo’ on left hand side of screen. Enter details and click on ‘OK’ when complete |

| 9. Once updates are complete click on Save at the top of the screen (if applicable) |

| 10. You can print screen to file with employees paper records/or use as back up docs if applicable as follows: After you save all the updates that you have made click on the ‘Action’ at the top left hand side of the screen and a drop down menu will appear with the options ‘Save’ ‘Print’ or ‘Exit’ click ‘Print’ and a Print Pop up Screen will appear similar to the screen shot across. Make your selections and click print. |
