As you are aware the ESBS-ETB Payroll system is based on one standardised single configuration which is the same for every ETB. Processes are also standardised to improve operational performance and to ensure consistency.
It has come to our attention that ETB Admin Users are creating Additional Contracts for employees in error. The following steps should be followed in cases where Employees are employed in more than one post and are paid different rates of pay for each post:
Example A:
Teacher / Tutor
Set Teacher up on Core as New Starter (if not already on system) – Refer to Manual Pg. 26. Please note – in order to ensure any entitlements to Special Rate of Pay are calculated correctly, the payee must be set up on a Teacher Pay Scale
Tutor to be set up with a DCS contract with relevant pay code attached.
Example B
Caretaker /Cleaner with ad hoc additional hours
Set Caretaker up on Core as New Starter (if not already on system) – Refer to Manual Pg. 26
The additional Cleaner hours to be claimed via the manual Timesheet/ETTO with relevant pay code attached.
Example C
*Grade 3/Grade 4 salaried
Set up one of the posts on a contract (if not already on system) – Refer to Manual Pg. 30
Contracted hours to be total of both posts.
Add the grade 3 and grade 4 salary together and assign this by using the ETB Personal Rate salary.
Example D
Youth worker (pensionable) /SCP worker (non-pensionable)
Set up the Youth Worker on a contract (if not already on system) – refer to manual pg. 30
Add the SCP worker salary to a Personal to Holder allowance (non-pensionable, Pay in Full) - 4203
* Pension contributions are deducted based on the salary attached to the contract."
