Dear ETB’s
As you are aware, ESBS payroll operations have taken over responsibility from NSSO for processing ETB pensioners pay with effect from the pay date of 5th June 2025.
Who do I contact with a query?
- Queries from pensioners about their payment or system access should be directed to our helpdesk at ETBpensionpayroll@esbs.gov.ie
- Queries from HR units and pension SMEs in relation to the calculation and establishment of pension entitlements should be directed to the pensions helpdesk at ETBPensions@esbs.gov.ie to be raised at the ESBS/ETB Monthly pensions call or escalated to the Pensions Unit, DoEY via the PTG if required.
- Queries from HR units and pensions SMEs in relation to active payrolls should be forwarded to ETB_PensionersPayOpsTeam@esbs.gov.ie where the payroll team will assist.
How do I forward instructions for inclusion in the run?
The schedule of cut offs for submissions of Pensioners set up or adjustment forms has been added to the Hive for your information.
ETB’s are required to have all instructions added to Hive on or before 12 pm on the cut-off date. It is not necessary for an ETB to email ESBS to inform us of instructions added HOWEVER, where an ETB need to add an adjustment to a live payroll AFTER the cut off, please contact ETB_PensionersPayOpsTeam@esbs.gov.ie to request authorisation to process an additional instruction.
Every effort will be made to accommodate such requests but may not always be possible due to capacity constraints.
Going forward, I would encourage ETB pension units, rather than stockpile pension set up forms, to add the completed, signed off forms to the Hive as and when they are authorised.
Please add these forms to the next available payroll folder and the pay team will action them as soon as possible. Any issues or queries on these forms will be communicated to you via a memo. The memo will be added to Hive and an email sent to the pensions SME and generic pension email account in your ETB to alert you to the presence of the Memo.
To avoid delays in actioning pensioners payments, I would ask that memo queries are responded to immediately.
What will the ETB get back at the end of the run?
As part of the payroll run, ESBS will remove from the payroll any deceased payee notified to us by the General registrar office.
Once the run is complete, ESBS will notify the ETB via memo any deceased person removed from payment.
