• Absence FTE is used to pro-rata annual leave entitlement based on days worked. 

 

  • If an employee works 5 days each week, there is no need to enter information in the absence FTE field. If you do wish to enter information, you should enter 1. (even if an employee works 4 hours each day their FTE should still be entered as 1)
    1. If the employee works less than 5 days a week, the absence FTE field would be used;
    2. If they work 4 days each week, the absence FTE would be 0.8
    3. If they work 3 days each week, the absence FTE would be 0.6
    4. If they work 2 days each week, the absence FTE would be 0.4
    5. If they work 1 days each week, the absence FTE would be 0.2

 

  • If the employee job-shares or works different shifts each week, e.g. 4 days one week, 3 weeks the following - you would pro-rata the absence FTE over the pay period - 4 days one week, 3 days second week would be absence FTE 0.7

 

  • Not required for teachers as it’s only used for annual leave entitlement 

 

 

  • If an employee requests shorter working year, you can amend the absence FTE at the start of the year, this will calculate their annual leave entitlement for the year.  Absence FTE to be left at adjusted value even when the employee is taking their shorter working year leave.
  • If an employee is on unpaid leave and is not entitled to work up their annual leave the absence FTE can be put to 0 while they are on leave, this will recalculate their annual leave balance accordingly.
